Terms and Conditions of IVHQ Registration and Program Fees

This document summaries the terms and conditions applicable to IVHQ’s Registration Fees and Programs Fees.

Volunteers may choose between three Registration Fee pricing Options: Base, Smart and Flexi+. Volunteers who first registered before 7 October 2019 may have been offered the Standard plan but this is no longer available to new volunteers. The terms and conditions in respect of these options are defined below.

All prices referenced are in US dollars.

All timing referred to in these terms and conditions is based on New Zealand time. References to the program’s start date refer to earliest start date that a volunteer is registered for.

Requests for cancellations, refunds or other changes to your program must be made via an email to your IVHQ Program Manager and are considered at IVHQ’s discretion, clearly detailing the reasons for the cancellation, refund or change. Once a volunteer’s cancellation or refund request has been received by IVHQ, they will be notified via email. If no confirmation is received within three working days, the volunteer should assume that the request has not been received and is advised to contact his or her IVHQ Program Manager again.

Fee Options


Base $299

Registration Fee

Registration Fee is non-refundable and Registration Fee credits are not available.

Changes to Program Destination, Project, Dates or Duration

After the Registration Fee has been paid and before the program start date, a volunteer may change their program destination, project, duration and/or start date subject to:

  • 14 or more days from program start date: $50 Change Fee per change + any difference in Program Fee.
  • Less 14 days from program start date: $150 Change Fee per change + any difference in Program Fee.
  • The new program’s start date must be no more than 12 months from the earliest start date they have registered for, otherwise a new Registration Fee will be payable.

Program Fees are non-refundable after they have been paid. If a volunteer changes to a program with a lower Program Fee, we will refund the difference in the Program Fees less a $50 Change Fee only if the change is requested 14 or more days from the program start date. If a change is made less than 14 days from the program start date, no refund will be given.


Smart $329

Registration Fee

If a volunteer wishes to cancel their registration after the Registration Fee has been paid, they may request a refund or fee credit subject to:

  • Cancellation 60 or more days from program start date: 50% refund of Registration Fee.
  • Cancellation 30-59 days from program start date: No refund, but a Registration Fee credit can be held in the volunteer’s name for future use on any IVHQ program, subject to availability, for 12 months from the earliest registered start date.
  • Cancellation less than 30 days from program start date: No refund, but if the Program Fee has also been paid then a Registration Fee credit can be held in the volunteer’s name for future use on any IVHQ program, subject to availability, for 12 months from the earliest registered start date.

Volunteers who apply for a new program and cancel within the timeframes mentioned above are held to the same conditions in relation to their eligibility for a refund.

If a volunteer registers and requests a verification letter, they cannot then receive a refund for their Registration Fee should they withdraw from the program.

  • The new program’s start date must be no more than 12 months from the earliest start date they have registered for, otherwise a new Registration Fee will be payable.

Flexi+ $399

Registration Fee

If a volunteer wishes to cancel their registration after the Registration Fee has been paid, they may request a refund or fee credit subject to:

  • Cancellation 60 or more days from program start date: 100% refund of Registration Fee, less a $50 Change Fee.
  • Cancellation 30-59 days from program start date: 100% refund of Registration Fee, less a $50 Change Fee.
  • Cancellation less than 30 days from program start date: No refund, but if the Program Fee has also been paid then a Registration Fee credit can be held in the volunteer’s name for future use on any IVHQ program, subject to availability, for 24 months from the earliest registered start date.

Volunteers who apply for a new program and cancel within the timeframes mentioned above are held to the same conditions in relation to their eligibility for a refund.

If a volunteer registers and requests a verification letter, they cannot then receive a refund for their Registration Fee should they withdraw from the program.

Standard $299

The Standard Registration Option is no longer available, although it may still be offered to some volunteers on applications submitted prior to 7 October 2019.

  • Cancellation 60 or more days from program start date: 100% refund of Registration Fee, less a $150 Change Fee. Alternatively, a Registration Fee credit will be held in the volunteer’s name for future use on any IVHQ program, subject to availability, for 12 months from the earliest registered start date.
  • Cancellation 30-59 days from program start date: No refund of Registration Fee. However, a Registration Fee credit can be held in the volunteer’s name for future use on any IVHQ program, subject to availability, for 12 months from the earliest registered start date.
  • Cancellation 15-29 days from program start date: No refund, but if the Program Fee has also been paid in full by the due date then a Registration Fee credit can be held in the volunteer’s name for future use on any IVHQ program, subject to availability, for 12 months from the earliest registered start date.
  • Cancellation less than 15 days from program start date: No refund, but if the Program Fee has also been paid in full by the due date then a Registration Fee credit can be held in the volunteer’s name for future use on any IVHQ program, subject to availability, for 12 months from the earliest registered start date. If the Program Fee has not been paid in full, a $150 Change Fee applies to hold the Registration Fee in credit for 12 months from the volunteer’s earliest registered start date.
