Volunteer of the Year Terms and Conditions

  1. Information on the prize and how to enter form part of these conditions of entry. By applying for this competition, you agree to be bound by these conditions of entry and all decisions of the program promoter (“International Volunteer HQ”), which are final in all matters relating to the promotion. The program and these conditions of entry are void where prohibited by law. Any changes to these conditions of entry will be published on the International Volunteer HQ website at www.volunteerhq.org.

  2. The promoter is International Volunteer HQ Limited (NZBN 9429033430133), 99 Devon Street West, New Plymouth, New Zealand.

  3. Employees of International Volunteer HQ and Global Travel Academy Limited (NZBN 9429041113516) (“Global Travel Academy”) and their subsidiaries and affiliated companies, and members of their immediate families or households, are ineligible to enter this competition.

  4. It is free to nominate someone for the IVHQ Volunteer of the Year. Nominations will be accepted from previous IVHQ volunteers, as well as from individuals who have not volunteered with IVHQ before. The nominee must be 18 years of age or older at the closure of applications (25 November 2018 at 7:00pm PST) and hold a valid passport with at least 6 months validity. IVHQ Volunteer of the Year nominations will only be accepted via the nomination form on the www.volunteerhq.org website. The nomination form must include contact details, along with answers to the applicable questions.

  5. IVHQ Volunteer of the Year nominations can be submitted from 28 October 2018 7:00pm (PST) until 25 November 2018 at 7:00pm (PST). Nominations are deemed to be received at the time of receipt by International Volunteer HQ and International Volunteer HQ records are conclusive as to the time of receipt. All dates are subject to change if necessary in International Volunteer HQ’s discretion.

  6. On 25 November 2018, a selection of IVHQ Volunteer of the Year nominations will be shortlisted and the nominees will be notified via email to advise that they have been selected as finalists. These finalists will be required to support IVHQ in creating a personal profile to be published on the IVHQ website. Finalists who fail to supply their volunteer profile by the time specified by IVHQ, will be ineligible for the voting stage of becoming the IVHQ Volunteer of the Year. On 2 December 2018 at 7:00pm (PST), the finalists’ submissions will be published on International Volunteer HQ’s website and public voting to select IVHQ’s Volunteer of the Year will begin. Public voting will close on 16 December 2018 at 7:00pm (PST). There is a limit of one vote per email address, per day. Voting will be monitored and any entries with automated votes from the same IP address may be disqualified. The judges’ decision is final and no correspondence will be entered into, including in the event of a dispute. The odds of winning depend on the number of eligible votes received.

  7. The successful finalist will receive the following:

  • IVHQ Registration Fee and 2-week IVHQ Program Fee
  • US$1000 to be used solely on flights to participate on the chosen IVHQ Program
  • Travel insurance up to the value of US$250 for the 2-week duration of the IVHQ Program
  • The ‘Certificate in International Volunteering’ online course from Global Travel Academy

IVHQ will cover the cost of a 2-week travel insurance policy. The scholarship recipient is required to purchase the travel insurance and once proof of purchase has been provided, IVHQ will reimburse the scholarship recipient up to the value of US$250.

The prize cannot be refunded, transferred, substituted or redeemed for cash. Acceptance of prize constitutes permission for IVHQ to use the scholarship recipient’s name, likeness, and entry for purposes of advertising and trade without further compensation, unless prohibited by law.

  1. The scholarship recipient must begin the volunteer program before 30 December 2019.

  2. As the IVHQ Volunteer of the Year, the winner must:

  • Submit photos, videos and blog content from their volunteer trip (within 4 weeks of completing the program) to be shared on International Volunteer HQ’s website and social media channels at International Volunteer HQ’s discretion.
  • Ensure all content shared with external networks and social media platforms is aligned with guidelines provided by International Volunteer HQ prior to the scholarship recipient’s volunteer trip.
  1. The IVHQ Volunteer of the Year recipient will be notified via email or phone and the recipient’s names may be published on the International Volunteer HQ website.

  2. If the IVHQ Volunteer of the Year recipient has not accepted the prize within 7 days, the next best suited finalist will be selected as the recipient.

  3. No responsibility is accepted for late, lost or misdirected submissions or any errors or failures in internet or other communications. International Volunteer HQ reserves the right to cancel or modify the scholarship promotion if, in its sole discretion, the administration of the scholarship promotion is impaired for technical or other reasons beyond its reasonable control and, in such an event, may select the scholarship recipient from all valid entries received prior to the impairment.

  4. The IVHQ Volunteer of the Year recipient will be responsible for covering the costs associated with traveling to the volunteer program, which includes but is not limited to flights (for any amount over the US$1000 flight credit), travel insurance (for any amount over the US$250 insurance credit) visas, vaccinations, criminal background check and spending money.

  5. The campaign hosted by International Volunteer HQ is in no way sponsored, endorsed, administered by, or associated with Facebook or Instagram.

  6. By applying or nominating an individual for the IVHQ Volunteer of the Year, you consent to being entered into a database and International Volunteer HQ and Global Travel Academy may use this information for future email promotions and marketing purposes, which you can choose to opt out of at any time. Furthermore, competition entrants consent that their emails may be used by any scholarship partners for future email promotions and marketing purposes.

  7. Please refer to IVHQ’s privacy policy at https://www.volunteerhq.org/privacy-policy/ for information about how IVHQ collects, uses and discloses your information. Please be aware, all information collected for the ambassador competition will be shared with IVHQ’s scholarship sponsor, Global Travel Academy and such information may be used for this sponsors’ future email promotions and marketing purposes, as described in their respective privacy policies: https://www.travelacademy.org/p/privacy.

  8. The IVHQ Volunteer of the Year recipient is also subject to the International Volunteer HQ Terms and Conditions of Service.

  9. The Competition and these Official Rules will be governed, construed and interpreted under the laws of New Zealand.
