Alternative Break Scholarship Terms and Conditions

  • 1 - These terms and conditions relate to the “Alternative Break Scholarship” promotion operated by International Volunteer HQ Limited (NZBN 9429033430133), 99 Devon Street West, New Plymouth, New Zealand (“IVHQ”).

  • 2 - Information on the prize and how to enter form part of these conditions of entry. By entering this scholarship, you agree to be bound by these conditions of entry and all decisions of IVHQ which are final in all matters relating to the scholarship. The scholarship and these conditions of entry are void to the extent prohibited by law.

  • 3 - IVHQ reserves the right to change these conditions of entry without prior notice. All dates are subject to change if necessary in IVHQ’s discretion. Any changes to these conditions of entry will be published on the IVHQ website at www.volunteerhq.org.

  • 4 - Employees of International Volunteer HQ and Intern Abroad and their subsidiaries and affiliated companies, and members of their immediate families or households, are ineligible to enter this competition.

  • 5 - The rules of the scholarship are as follows: All entrants into the scholarship must:
    • be 18 years of age or older at the closure of applications (12 December, 2019, at 7:00pm (PDT);
    • hold a valid passport with at least 6 months validity at the date of travel
    • meet the requirements to volunteer abroad with IVHQ or take an internship with Intern Abroad HQ
  • 6 - The scholarship commences at 7pm (PDT) October 3rd, 2019, and closes at 7:00pm (PDT) December 12th, 2019, (“scholarship Period”). Entries received outside of the scholarship Period will not be accepted.

  • 7 - Alternative Break Scholarship applications can be submitted from 7pm (PDT) October 3rd, 2019, until November 20th, 2019 at 7:00pm (PST). On November 20th, 2019, a selection of IVHQ Alternative Break Scholarship applications will be shortlisted and the nominees will be notified via email to advise that they have been selected as finalists. These finalists will be required to support IVHQ in creating a personal profile to be published on the IVHQ website. Finalists who fail to supply their volunteer profile by the time specified by IVHQ, will be ineligible for the voting stage of becoming the IVHQ & IAQH Alternative Break Scholarship recipient. On November 28th, 2019, at 7:00pm (PDT), the finalists’ submissions will be published on International Volunteer HQ’s website and public voting to select IVHQ’s Alternative Break Scholarship recipient will begin. On December 12th, 2019, at 7:00pm (PDT) public voting will close.

  • 8 - During the voting phase of the scholarship there is a limit of one vote per email address, per day. Voting will be monitored and any entries with automated votes from the same IP address may be disqualified. The judges’ decision is final and no correspondence will be entered into, including in the event of a dispute. The odds of winning depend on the number of eligible votes received.

  • 9 - It is free to apply for the Alternative Break Scholarship. Applications will be accepted from previous IVHQ volunteers, as well as from individuals who have not volunteered with IVHQ before. IVHQ Alternative Break Scholarship applications will only be accepted via the application form on the www.volunteerhq.org website. The application form must include contact details, along with answers to the applicable questions.

  • 10 - Applications are deemed to be received at the time of receipt by International Volunteer HQ and International Volunteer HQ records are conclusive as to the time of receipt. All dates are subject to change if necessary in International Volunteer HQ’s discretion.

  • 11 - The winner will be confirmed by IVHQ and notified by email and/or DM on Facebook/Instagram/Twitter at the end of the scholarship period. If the winner cannot be contacted or does not claim the prize within 7 days of notification, IVHQ reserves the right to withdraw the prize from the winner and pick a replacement winner.

  • 12 - Upon accepting the prize, the winner’s name will be published on IVHQ’s social media channels. The decision is final, and no correspondence will be entered into, including in the event of a dispute. By registering you consent to having your name shared if you are selected as the winner of the scholarship and accept the prize.

  • 13 - IVHQ reserves the right to cancel or modify the Scholarship if it considers, in its sole discretion, the administration of the Scholarship is impaired for technical or other reasons beyond its reasonable control and, in such an event, may select the winner from all valid entries received prior to the impairment.

Prize conditions:

  • 14 - The successful finalist will receive the following:
    • Registration Fee and 2-week Program Fee for International Volunteer HQ or Intern Abroad HQ
    • US$1000 to be used solely on flights to participate on the chosen IVHQ or IAHQ Program
    • Travel insurance up to the value of US$150 for the 2-week duration of the IVHQ Program
  • 15 - The Flight Credit may only be put towards return flights from the winner’s country of residence to the IVHQ Program destination.

  • 16 - Flights must be the most direct route to the IVHQ Program destination. Additional layovers or transport costs are at the winner’s sole discretion and expense.

  • 17 - The Scholarship recipient must travel and begin their IVHQ Program before August 1st, 2020 and the flight booking must be confirmed with IVHQ Flights before January 15th, 2020. If the winner is, for whatever reason, unable to confirm the booking before January 15th, 2020 or travel before August 1st, 2020, whether the failure was due to reasons beyond the winner’s control or otherwise, then the winner will forfeit the prize.

  • 18 - The Flight Credit may not be used to pay for any fees or additional flight costs where the winner has already booked flights or wishes to change or cancel their flights for whatever reason.

  • 19 - Acceptance of prize constitutes permission for IVHQ to use the scholarship winner’s name, likeness, and entry for purposes of advertising and trade without further compensation, unless prohibited by law.

  • 20 - The Flight Credit cannot be refunded, transferred, substituted or redeemed for cash.

  • 21 - The Insurance Credit may only be used towards the winner’s personal insurance during their IVHQ program or IAHQ internship and must be booked through IVHQ’s insurance provider. The prize winner is solely responsible for ensuring they have adequate insurance cover through IVHQ’s insurance provider. Should the required insurance cover exceed US$150, it’s the responsibility of the prize winner to pay the remainder. Should the insurance cost be less than the prize winner’s US$150 insurance credit, the remainder cannot be refunded, transferred, substituted or redeemed for cash.

  • 22 - The Registration Fee credit can only be put towards the prize winner’s IVHQ or IAHQ Registration Fee and cannot be gifted to anyone else. The prize recipient’s previous Registration Fee payment will be refunded in full to the platform where payment was made.

  • 23 - The prize covers the cost of a 2-week travel insurance policy. The scholarship recipient is required to purchase the travel insurance and once proof of purchase has been provided, IVHQ will reimburse the scholarship recipient up to the value of US$250.

  • 24 - The recipient of this Scholarship must also:
    • Submit photos, videos and blog content from their volunteer trip (within 4 weeks of completing the program) and accept the use of this imagery by IVHQ and Intern Abroad on their website and in other marketing channels including but not limited to social media and email.
    • Ensure all content shared with external networks and social media platforms is aligned with guidelines provided by IVHQ or Intern Abroad HQ prior to the recipient’s volunteer trip.

General Terms:

  • 25 - The winner will be responsible for covering all other costs associated with traveling to and from the IVHQ Program or Intern Abroad HQ internship, including but not limited to flights (for any amount over the US$1,000 flight credit), travel insurance (for any amount over US$150), visas, vaccinations, criminal background check and spending money.

  • 26 - The campaign hosted by International Volunteer HQ is in no way sponsored, endorsed, administered by, or associated with Facebook, Instagram or Twitter.

  • 27 - By applying or voting for an individual for the IVHQ Alternative Break Scholarship, you consent to being entered into a database and International Volunteer HQ and Intern Abroad HQ may use this information for future email promotions and marketing purposes, which you can choose to opt out of at any time. Furthermore, competition entrants consent that their emails may be used by any scholarship partners for future email promotions and marketing purposes.

  • 28 - Please refer to IVHQ’s privacy policy at https://www.volunteerhq.org/privacy-policy/ for information about how IVHQ collects, uses and discloses your information. Please be aware, all information collected for the scholarship will be shared with IVHQ’s scholarship partner, Intern Abroad HQ and such information may be used for this partners’ future email promotions and marketing purposes, as described in their respective privacy policies.

  • 29 - The IVHQ Alternative Break Scholarship recipient is also subject to the International Volunteer HQ Terms and Conditions of Service.

  • 30 - The Competition and these Official Rules will be governed, construed and interpreted under the laws of New Zealand.
